Warm Call from Cold SMS — Setter-to-Closer Handoff

A warm call is a phone call made to a prospect who has already responded to a cold SMS and expressed some interest. They are not a cold call. The tone, script, and goal are different.
The objective of the warm call: confirm fit, confirm interest, and book the closer call (or close on the spot if the setter has authority).
When to Call (Timing Rules)
Call within these windows or don't call at all:

Speed matters. A lead that replied 4 hours ago has mentally moved on. Call immediately or the window closes.
Pre-Call Checklist
Before dialing the warm prospect:
- Re-read the SMS thread — know exactly what was said and what they responded to
- Confirm their business name and what they do (Google them)
- Identify the offer or angle they responded to
- Have the booking link ready (Calendly or GHL calendar)
- Know the closer's availability for that day
Setter Warm Call Script
Opener
"Hey [Name], it's [Setter Name] — I'm the one who texted you earlier about [the offer/topic]. Got a couple minutes?"
If they say yes:
"Perfect. So the reason I'm calling is I wanted to get a little more context before I loop in [Closer Name] — he's the one who handles the actual [service/results] side. I just want to make sure we're a fit first. That cool?"
This frame establishes the two-step process (setter qualifies, closer presents) and sets the expectation that there's a next step.
Qualification Questions (2–3 questions max)
Setters do NOT run discovery calls. Ask only what's needed to qualify and pass.
- "Are you currently doing any marketing for your business, or is it mostly word of mouth?"
- "How many new clients/jobs are you looking to add per month?"
- "Are you the one who makes marketing decisions, or do you share that with a partner?"
If they answer yes to #3 (sole decision-maker), confirm budget signal:
"And budget-wise, if we showed you something that was working, is that something you could move on this month?"
If Qualified — Book the Closer Call
"Awesome. Based on what you've told me, I think [Closer Name] can show you something really relevant. He's got [day] at [time] or [day] at [time] — which works better for you?"
Give two options. Never ask open-ended scheduling questions. Two options forces a decision.
Once they pick a time:
"Perfect. I'm going to send you a confirmation by text right now. All you need is 20 minutes and ideally a laptop or phone to pull something up. Does that work?"
Send the calendar link immediately.
If Closer is Available Right Now
"Actually — [Closer Name] just finished a call. He's free for the next 20 minutes. Would you rather just jump on with him right now and get it handled?"
Warm transfers save a step and improve show rates. If the closer is available, attempt the live transfer before booking a future time.
Live transfer handoff:
"Hey [Closer Name], I've got [Prospect Name] on the line — he's a [niche] business in [city], they're getting [X] leads a month and looking to scale. I'll let you take it from here."
If Not Qualified
"Appreciate you taking the time. It sounds like the timing's not quite right for this — can I check back in with you in [timeframe]?"
If they say yes, add to nurture with a specific follow-up date. Do not send them to the closer.
Setter-to-Closer Handoff Notes
When logging the call in the CRM, include:
- Lead name + business name
- Niche and city
- Pain stated in their words (direct quote if possible)
- Qualification notes — decision authority, budget signal, timeline
- What they responded to in the SMS (the specific offer/hook)
- Booked call time or outcome
The closer reads these notes before their call. A closer walking into a call blind is a missed close.
